Family Tree Maker(TM) FAQ 050
How can I find all the citations that refer to a particular Master Source?

It ain't easy! FTM provides no tool specifically designed to solve this problem. Your choices are below. In each case you must run a report and select individuals who may have citations to the source in question. To make this easier, and eliminate some false hits, it is best to modify the Master Source by placing a unique and recognizable string in its title. This can later be removed, if you wish.
Documented Events Report
This is the official recommendation of BB Support.
Report | Format | Report format | Documented events
If you have a large file this may take a while to format. Once it has, then you want to select just those individuals who have citations for the target Master Source.
Contents | Individuals to include | Individuals to include | << | Find> | Any and all text fields | "unique string"
The string is the one that you "planted" in the target source title. Of course, if you know that citations are limited to one particular field, use that instead of "Any and all text fields".

Characteristics:

  1. You must scan the report looking for occurrences of the target source. The format of the report does not make this particularly easy.
  2. The report is cluttered up with all the other fields' citations that  your selected individuals may have.
  3. Some individuals may seem to have been inexplicably included, there apparently being no citation to the target source. These may have a citation in the Marriage Information (date or fact). The marriage citations are shown in the report after all the individuals.
  4. You cannot easily navigate between the report and the dialogs for the individuals shown, perhaps to change or delete the citations. You must write downon paper – the pertinent information, exit the report, then find the individual, perhaps in the index.
  5. There may be insufficient information in the report to uniquely identify the found individuals. The only information displayed are the names and the contents of the fields with citations. Fields with no citations, regardless of their utility in identifying the individual, such as birth and death dates, will not be displayed unless they are sourced.

Custom Report
This is a bit easier to use.
Report | Format | Custom report
Again, this may take a while to format. Now, select the individuals and fields of interest. I find it easiest to just attack one field at a time.
Contents | Items to include | [select field]
You will probably want to select one or more of the "source info." choices to include. You need not be so concerned about including information to simplify navigation to the individuals for corrective action, because you can click on an individual in the Custom Report to bring up her Family Page

You should also try to select just the individuals with the citations of interest, in the same way as with the Documented Events Report. Of course, if you are displaying only one target field in your report, you would want to limit your Find Individuals scope to just that field.

Characteristics:

  1. You must still scan the report looking for the target source. The tabular arrangement of the fields in the Custom Report may be a bit easier to scan than the arrangement in the Documented Events Report.
  2. The report is limited to the fields that you have selected, reducing clutter.
  3. There should be no "inexplicable inclusions".
  4. Navigation to the individuals of the report is simple: A click on the line of the report brings up that person's Family Page.
  5. Uniquely identifying the individual is moot, given the certainty of navigation in the preceding point.

C A V E A T
With both of the methods outlined above, there may be some citations that you will simply be unable to find. I have experienced numerous instances when selecting "any and all text" fields indicates that there are no individuals that satisfy the criteria, but the targeted Master Source nevertheless still shows a few citations! The first few times I spent several hours trying to find these without success. In version 4.4, I simply delete the Master Source and the ghost citations disappear as well. However, in subsequent versions this situation could be a major problem, as Master Sources cannot be deleted until all their citations are deleted!

Brøderbund needs to provide FTM with a more direct, reliable and easier method for locating ALL citations of a selected Master Source.
