~ How to locate New Zealand's Armed Forces Records
From 1898 to the present. ~

How to locate records from New Zealand's Armed Forces

        The New Zealand Ministry of Defence does not hold information on the New Zealand Defence Force records. This information can be obtained from the New Zealand Defence Force personnel archives.

        For personnel archives, personnel enquiries, and medal enquiries; you will need to

           Base Records (New Zealand Defence Force) holds the personal files for discharged New Zealand Defence Force personnel (Army - Navy - Air Force) from the Boer War to current time, but it does not hold photographs, or details on:
  • early militia
  • merchant seamen
           The statutory basis for providing access to personal information held by the Defence Force is set out in two pieces of legislation:
  • The Privacy Act 1993
  • The Official Information Act 1982

    Deceased Personnel Files

           Personnel Archives handles all enquiries regarding deceased personnel files.
  • The fee for official information is normally NZ$28 per file. If the file is very large, a higher fee may apply.
  • The person enquired about must be deceased before information is released from the file to a third party.
  • If the file has no notification of death, a copy of death certificate or death notice is required for release of information from file.

    Living Personnel Files

           Personnel Enquiries handles all enquiries regarding living personnel files.
  • Free information can only be given to the person named on the file.
  • Someone can give third party written permission to access information on file, but there may be a fee.

    Statement of Service

           A Statement of Service can be requested free of charge. This is required for membership to New Zealand Returned Services Associations.

    Medals Enquiries

           The Staff Officer Medals handles all enquiries regarding medal entitlement and issue of replacement ribbons and medals. Replacement medals are only issued during the lifetime of the person to whom the medals were originally awarded.

           Where medals were not issued to service personnel during their lifetime, the next-of-kin may claim the medals. Applications must be in writing.
