Operating Procedure
Meeting Schedule of the Student Council Association
- Regular SCA meetings will take place every Monday immediately after school.
- There will be two types of SCA meetings: General Meetings and Committee Workshops. In general, a General Meeting will take place every three weeks, and all other meetings will be Committee Workshops. However, this schedule is flexible, and is meant to serve as a guideline only.
- General Meetings: For General Meetings, all SCA members (Executive Council, Committee Chairmen, TA Representatives, Volunteers) and sponsors will meet together. The purpose of these meetings is to inform all SCA members of all activities in progress, and to provide a forum for bringing up new business.
- Committee Workshops: For Committee Workshops, all SCA members are also required to attend. The purpose of these meetings is to allow each Committee to meet separately and take care of its own business.
General Meetings, Standard Agenda:
- The meeting will be called to order by the President, or highest-ranking member.
- Attendance will be taken by the Secretary. The Secretary will also take Minutes throughout the meeting.
- Any Special or Urgent Business will be addressed.
- The Committee Chairmen of each Committee will take about five minutes to share with the SCA their progress, needs, and goals.
- New Business will be addressed. Anyone who has an idea or suggestion for projects that the SCA should undertake may offer his/her ideas. After considering an idea, the SCA will decide by majority vote whether or not to take action.
Committee Workshops, Standard Agenda:
- The meeting will be called to order by the President, or highest-ranking member.
- Any Special or Urgent Business will be addressed.
- The SCA will break-up into Committees to address the individual agendas of each Committee.
- Committee Chairmen will facilitate these workshops.
- The Committee Recorder will take Minutes at these meetings, and will submit the minutes to the Committee Chairmen before leaving the meeting.
Effective Communication
- Every Wednesday, the Executive Council will do the following:
- Submit copies of the SCA Minutes from the meeting that took place two days earlier to the Committee Chairmen by leaving them with SCA Sponsor Mr. Guy.
- Provide the Committee Chairmen with a copy of a proposed agenda for the next SCA meeting. If any additional items need to be placed on the agenda, a Committee Chairman will leave a memo for the SCA President with SCA Sponsor Mr. Guy by the end of the week.
- Every Wednesday, the Committee Chairmen will do the following:
- Submit a photocopy of the Committee’s Minutes to the Executive Council by leaving it with SCA Sponsor Mr. Guy, if the meeting that took place two days earlier was a Committee Workshop.
- Provide the Executive Council with a copy of the Committee’s proposed agenda for the next Committee Workshop. If any additional items need to be placed on these agendas, the Executive Council will get a memo to the Committee Chairmen of the Committee in question by the end of the week.
- A copy of SCA minutes from General Meetings will be sent to every TA after they have been approved by the SCA.
