Duties of the Toastmaster

Introduction

As Toastmaster of the Day, you face the task of introducing the meeting theme and the other members of the program. If the Toastmaster does not perform the duties well, an entire meeting can end in failure. Therefore, this task is not usually assigned to a member until he or she is quite familiar with the club and its procedures. The primary duty of the Toastmaster is to act as a genial host and conduct the entire program. Program participants should be introduced in such a manner as to prepare the audience to listen with excitement and rapt attention. It is the Toastmaster who creates an atmosphere of interest, expectation and receptivity.

Before the Meeting

Call each scheduled speaker to verify that he or she is speaking and to obtail a title, manual and speech number, and time limits.
Publish the duty assignments for the meeting at least two working days prior to the meeting so that everyone can be prepared. Email to the toastmasters@rsn.hp.com email alias is the accepted way.
Call the Topics Master, the General Evaluator, and the speech evaluators, in addition to sending them e-mail on the agenda, because their voice-mail may alert you that they are out sick or away in training/travel!
Work with the Topics Master to set a theme for the meeting.
Gather material to introduce those who you will be giving control of the meeting, including the Topics Master, General Evaluator, and speakers. You also can include the helpers and speech evaluators if you wish.
Prepare a written agenda for the meeting and make copies enough for those you expect to be at the meeting.
